View Reports, Protect Revenue Data
Not every co-worker should have access to revenue figures. However, some project managers need an overview of projects without seeing those numbers. That is exactly what a new access right in Clockodo makes possible:
Allow co-workers to view reports without revealing revenue figures and budgets.
A practical example: For Lisa, who runs her agency, access rights had previously been a challenge. Project manager Max needed to evaluate his team's time entries and projects, but granting him the “See reports” right automatically gave him access to revenue figures and budgets, which should only be available to Accounting and Management. With the new access right, Lisa can now separate these types of information. Max can analyze all relevant time entries and projects, while sensitive financial data remains available only to those who truly need it.
You can now decide separately who may evaluate time entries and who may additionally see the associated revenue figures. Previously, anyone with the “See reports” right in Clockodo could also see revenue figures, budgets, and budget progress. The new right, “See revenues with the 'See reports' access right”, separates these permissions. Only for time budgets will budget progress continue to be displayed.
Nothing changes for your existing users. Clockodo retains the current permissions, so you do not need to adjust anything manually.
Why This Right Makes a Difference
SSensitive figures should not be visible to everyone. A co-worker may need to evaluate recorded project times but should not necessarily see the revenue generated by them.
Previously, if you wanted to allow an internal project manager to view all relevant time entries, that person automatically gained insight into revenue figures as well. The new additional right now makes it possible to avoid that. Team leads and project managers can evaluate all important productivity data without receiving unnecessary information about revenue and budgets.
The rights are structured as follows:
- “See reports”: View entries without revenue figures
- “See reports” + “See revenues with the 'See reports' access right”: View entries with revenue figures
- “Edit reports”: View and edit entries with revenue figures
For time budgets, budget progress will continue to be displayed even without the new additional right.
Where the Right Applies
The new right applies wherever Clockodo displays monetary values. Users without permission will continue to see time entries as usual, but no amounts.
- Timetable with recorded time entries
- Dashboard with the revenue metric
- Customer page with revenue figures and open budgets
- Project reports and subproject reports
- Reports builder, including PDF and CSV export
- Hourly rates on individual time entries
Most importantly, Clockodo filters revenue figures directly at the data level. The displayed totals therefore always match what a person is actually allowed to see. No amount will appear in exports if it is not intended for the recipient.

How to Assign the Right
You manage the right as usual through access groups.
- Open the access group
- Enable the right “See revenues with the 'See reports' access right”
