Track time directly from your calendar

Use the new calendar integration to convert personal events from Google or Outlook into time entries in Clockodo or use it to start the stopwatch instantly. Perfect for tracking time live or logging your entries later.

Approved absences also appear in your personal calendar.

Connect your personal calendar to Clockodo

Follow these steps to link your calendar:

  • Click your profile picture in the top right corner and select “Personal Add-Ons.”
  • Choose your calendar provider: Microsoft Outlook or Google Calendar.
  • Authorize access to your calendar.
  • Select the calendar you want to display in Clockodo.

To switch to a different calendar later, go to your settings via the profile picture in the top right.

Note

The Outlook integration works only with Microsoft 365 (Exchange Online). Unfortunately, local or hybrid Exchange environments are not supported.

Log time via calendar entry

Once the connection is successfully established, Clockodo displays your calendar entries in a dedicated view within the timetable. To access it, click the “Show calendar” icon in the top right corner. Your calendar entries will then appear on the right side, next to your time entries.

In the calendar settings, define what happens when clicking an event in the timetable:

  • Add the event as a time entry
  • Start the stopwatch
  • Let me choose between both options (default)

Selecting “Add the event as a time entry” opens the familiar booking dialog right after clicking the calendar event in the timetable. Enter customer/project and service as needed.

The “Start stopwatch” option first opens a dialog to adjust the information on project/customer, service and description. Clockodo then starts the live recording directly.

If both options are enabled, decide with each click whether to book the event as a time entry or start the stopwatch. Just hover over the calendar entry and pick the icon. 

Live or later: This feature supports both tracking your time live and time logging based on your planned schedule.

Note

The “Add the event as a time entry” feature is only available when project time tracking is enabled. If you're only tracking working hours, you will see your calendar in the view, but you won’t be able to import appointments or start the stopwatch.

Show absences in your calendar

When setting up the connection, define whether Clockodo adds approved absences to your personal calendar.

After approval of a holiday request, Clockodo creates an “Out of office” event for the corresponding period. To protect your privacy, the absence reason stays hidden. Add it manually if needed.

Co-workers see your availability at a glance. Clockodo syncs holiday, sick leave, and other absences automatically.

Notes:

  • The calendar does not include absences approved before you set up the connection.
  • Subsequent changes to approved absences (e.g., date adjustments or withdrawal of approval) are currently not updated automatically in the calendar. You can manually adjust the calendar entry if needed.
  • Entries such as “Home office” or “Work out of office” also do not yet appear in the Google or Outlook calendar. If necessary, simply add them yourself.
  • For half-day absences, Clockodo creates an event from 8:00 a.m. to 12:00 p.m. in your personal calendar. Adjust the time manually if necessary.
