Restrict services per customer, project, and subproject

From now on, you define which services can be selected per customer, project, and subproject. Your co-workers see only the relevant options when tracking time, select from a shorter list, and complete their entries faster. At the same time, you reduce incorrect bookings.

Benefits & How It Works

In many accounts, the number of services grows over time. When adding new entries, long selection lists quickly lead to confusion and incorrect assignments. The new feature addresses exactly this issue.

You define which services are allowed per customer, project, or subproject. When someone adds a new time entry, Clockodo displays only those selected services. This creates clarity and significantly reduces incorrect allocations.

If you do not select any services, Clockodo automatically allows all existing services. The feature stays flexible and only applies where you actively use it.

How to Select Allowed Services

  • Create or edit a customer, project, or subproject
  • Open the “Select services” section
  • Mark the services you want to allow
  • Save your change

The restriction applies immediately to all new time entries.

Cross-Level Settings for Customers, Projects, and Subprojects

The setting follows a clear structure:

  • Services defined on customer level automatically apply to all related projects
  • Services defined on project level automatically apply to all related subprojects

In projects and subprojects, you override the higher-level setting when needed and allow more or fewer services than defined on the parent level.

You define central rules on customer level and adjust them only where necessary.

Impact on Existing Time Entries

Existing time entries remain unchanged. When you edit an existing entry, only the services currently allowed for the respective customer, project, or subproject appear in the selection list.

Example from Everyday Work

You divide a large project into three phases: concept, implementation, and launch. Each phase includes different tasks that you want to evaluate and invoice separately later.

You create subprojects for each phase and define different services for each one:

For the subproject “Concept,” you select the services “Concept & Design” and “Requirements Analysis.” The subproject “Implementation” includes the services “Technical Implementation,” “Development,” and “Testing.” In the final subproject “Launch,” you define the services “Go-live” and “Documentation.”

Within each subproject, co-workers book time only to the selected services. Everyone saves time when choosing the correct option, incorrect bookings decrease, and reporting becomes easier.

You also use service assignments when you split a project into separate teams that work with their own dedicated services.

Tip: If only one service is allowed, Clockodo preselects it automatically. Your co-workers start time tracking even faster.
