Flextime Window for Compliant Rest Periods and Predictable Workdays

With the flextime window, you define the daily time frame in which work may take place in your company, for example from 6 a.m. to 8 p.m. Recorded working times outside this time frame receive a clear visual indicator.

Benefits & How It Works

The flextime window defines a binding time span per day in which work should take place. By default, the time frame runs from 6 a.m. to 8 p.m. You adjust this range individually to match your company’s processes whenever needed.

The feature supports compliance with rest periods between workdays. At the same time, it creates clarity in daily planning because everyone knows the time frame in which co-workers are expected to work.

Important: Even if someone records time outside the defined flextime window, Clockodo counts these hours fully toward the work time account. To comply with the defined time frame, adjust any time entries that exceed it.

How to Edit the Flextime Window

  1. Open the company settings.
  2. In the “Work time tracking” section under “Flextime window”, change the start and end time. The default setting is 6 a.m. to 8 p.m.
  3. Deactivate the flextime window if the feature does not apply to your company.
  4. Save your settings.

After activation, the flextime window also applies retroactively to existing time entries.

Warnings for Bookings Outside the Flextime Window

If a co-worker records time outside the defined flextime window, Clockodo displays a warning in the form of a red triangle. This indicator appears in several places:

  • In the timetable in the browser and in the apps
  • In the work time account

You immediately recognize deviations, no matter where you review the recorded times.

Examples from Everyday Work

Example 1: Early Start While Working from Home

A co-worker starts work early from home and begins a time entry at 5:30 a.m. The company defines a flextime window from 6 a.m. to 8 p.m.
Clockodo marks the entry with a red triangle in the timetable and in the work time account. The co-worker sees that the booking falls outside the defined time frame. The time still counts toward the work time account, and the deviation remains visible. This creates awareness for rest periods and structured start times.

Example 2: Late Project Work in the Evening

A team works on an urgent project deadline. One co-worker records time until 9:15 p.m., even though the flextime window ends at 8 p.m.
The warning appears in the timetable and in the work time account as expected. The manager sees that the working time exceeded the defined time frame. This makes workload peaks visible and supports more realistic planning in the future.
