Activity Log: Keep track of changes in your company account

A customer is missing from the list, a budget has suddenly been changed to “soft,” or a service has disappeared. No one on the team knows when the change was made, and finding the answer takes valuable time. Situations like these create uncertainty and undermine trust in your shared account. With the Activity Log, that uncertainty becomes a thing of the past. 

The new Activity Log shows all important changes in Clockodo that affect other users, for example: 

  • Who deleted the service?
  • When was the invoice created?
  • Has anyone already created a backup? 

The log answers questions like these quickly and reliably. As a central record of activity, it creates transparency and builds trust within your team while giving you even greater confidence in the integrity of your data. 

The new feature shows who created, edited, or deleted shared data and when, including the values before and after each change. For example, with just a few clicks, you can find out whether a missing customer was deleted or archived.

Time entries are not included, as the large number of entries would make the log difficult to navigate. To review time entries, use the timetable and reports, or the work time journal for work time tracking.

A real-world example: Has a customer suddenly disappeared from your customer list? Open the Activity Log and filter by the Deleted change type. The matching entry will show you exactly when the customer was removed.

Benefits and how it works

The Activity Log lists every change as a separate event, including: 

  • the timestamp,
  • the user who performed the action,
  • the event name,
  • and the change type. 

Four change types help you find what you need quickly: 

  • Created,
  • Edited,
  • Deleted,
  • Other. 

You can expand the details of any event directly in the list whenever needed. 

Entries such as “Budget is hard: No → Yes” provide an easy-to-understand overview of each change. Even deleted records remain identifiable: the name of a deleted customer is still visible in the log. If one action triggers additional changes, those entries link back to the original event, making the relationship immediately clear. 

Once you've identified the issue, you can resolve it quickly and precisely. 

Find what you need with filters and sorting

To quickly locate specific events, you can filter the log by: 

  • event,
  • change type,
  • performed by,
  • affected user,
  • and time period. 

The search field within the filter makes it easy to work with a large number of events. Simply start typing and select the matching events. You can also sort the list by any column, such as timestamp or user.

What the Activity Log records

The Activity Log records all actions that affect more than just an individual workspace. These include: 

  • Creating, editing, or deleting customers, projects, services, co-workers, hourly rates, and more.
  • Company settings that affect your co-workers.
  • Subscription purchases and cancellations.
  • Created invoices.
  • CSV imports, including all customers, projects, and services created through the import.
  • Annual transfers of work time accounts and holiday allowances. 

In short, anything in your company account that is relevant to multiple users is recorded in the log. Personal settings for individual co-workers are intentionally excluded. 

Automatic processes appear under the user System, making them easy to distinguish from actions performed by your co-workers.

As an administrator, you automatically have access to the Activity Log. You can grant access to other co-workers by enabling the “View Activity Log for all data” access right in the rights settings under “Administration and settings”.
