Track time directly from your iCloud calendar
Manually entering appointments takes a few minutes every day. Until now, anyone using Apple’s iCloud calendar to manage their appointments had to enter them again manually in Clockodo, including the title, start time, end time, customer, and project. That’s no longer necessary.
Simply connect your iCloud calendar to Clockodo once. Your appointments will then appear directly where you track your time. From an appointment in the Clockodo clock or timetable, you can add a time entry with one click or start the clock. Conversely, if you choose to do so, Clockodo can transfer your approved absences to your iCloud calendar.
Everyday example: Tobias works in customer consulting and schedules his appointments in the iCloud calendar on his iPhone. When a customer meeting begins, the Clockodo app displays the appointment in the clock. Tobias can start tracking time directly for this appointment, even when he’s on the go and without having to enter the details again.

How to connect your iCloud calendar
The iCloud connection applies to your personal Apple user account and can be set up individually by each co-worker. Apple only allows access to iCloud calendars using an app-specific password. You generate this password once in your Apple Account and then enter it in Clockodo. Clockodo never receives your regular Apple password. You can revoke access at any time in your Apple Account.
- Generate and copy an app-specific password in your Apple Account.
- In Clockodo, click your profile picture in the top right and select “My add-ons”.
- Select iCloud, enter your Apple ID and app-specific password, and save.
- On the settings page, select the calendar you want to use and configure the options.
You will then see your iCloud appointments directly in Clockodo and can track your work time with just a few clicks, without having to enter anything manually.

View appointments and track time from them
Once connected, Clockodo displays your appointments in two places: In the calendar view of the timetable, they appear alongside your time entries. This makes it easy to compare the time you have tracked with your appointments. In the clock, you can also see the appointment currently in progress as well as upcoming appointments without having to switch to the calendar view.
Simply click an appointment: Clockodo automatically uses its title, start time, and end time. All you need to add is the customer, project, and service. Alternatively, you can start the clock directly from the appointment and, if you wish, have it start retroactively from the appointment’s scheduled start time.
If the time period overlaps with an existing time entry, Clockodo will notify you and can automatically resolve conflicts with existing entries.
You decide what happens when you click an appointment. In the calendar settings, you can choose between “use the appointment as a time entry,” “start the clock,” and “offer both options.”
For recurring appointments, Clockodo remembers your selection and automatically suggests the customer, project, and service the next time.
You can create time entries from appointments when project time tracking is enabled. Clockodo only reads your iCloud calendar and does not modify your existing appointments.

Transfer absences to your iCloud calendar
If you enable the “Add absences as appointments to my calendar” option in the calendar settings, Clockodo adds approved holidays, sick leave, and other absences to your iCloud calendar as an appointment titled “Absence.” This means you can see your days off on all your Apple devices without having to maintain them in two places.
The following restrictions apply when exporting absences:
- Clockodo does not transfer absences that were approved before you set up the connection.
- For data protection reasons, Clockodo does not transfer the reason for the absence. If necessary, you can add it yourself in your calendar.
- Half-day or hourly absences are entered at 8:00 a.m. by default. You can then adjust the time period directly in iCloud.
- Subsequent changes to absences that have already been approved are not synchronized. This applies, for example, if the date is changed or an approval is withdrawn.
- Entries such as “Home office” or “Working away from the office” do not currently appear in the iCloud calendar. If necessary, you can add these yourself.
All absences approved after you set up the connection will therefore appear automatically in your iCloud calendar. You will still need to maintain older absences or absences that are subsequently changed yourself.
