How is the security of my data guaranteed during transmission?

We protect your data with SSL encryption. You can recognize this by the “https://” in the address bar of your browser. This ensures that all data is transmitted securely between your device and our servers.

What happens to my data if I cancel Clockodo?

As long as you actively use Clockodo, your data will remain stored. After termination of the contractual relationship, all data will be returned or deleted. The data is returned by exporting it from the application. The deletion takes place automatically after the retention period specified in the Terms and Conditions.

What personal data is stored?

We only store the data that is necessary for the use of Clockodo: Name (or pseudonym), e-mail address, working hours, absences and any notes.

Can I have my data deleted at any time?

Yes, you can delete the data of individual employees or entire projects yourself. Please note: Some data is subject to statutory retention periods.

Can I export my data?

Yes, at any time. You can download your data yourself using the export functions in your account – e.g. in Excel, CSV or PDF format.

Which subcontractors providers does Clockodo use?

If we use subcontractors, we check them carefully in advance. Of course, these providers are subject to their own data protection regulations. You can find an overview of all subcontractors used and what we use them for in our privacy policy order processing agreement.

How much do my employees see of each other?

That depends on the access rights that the account administrators define for the employees: With our flexible rights management, you can control exactly who sees what – from complete access to just viewing their own times.

Do I have to use clear names for my employees?

No, you don't have to. You can also use abbreviations or pseudonyms for your employees – just as it suits your data protection concept.

What happens when an employee leaves? Is the data then deleted?

Employees who leave the company are archived in Clockodo. The archived employee's data remains stored in your Clockodo account for as long as you wish – e.g. for evaluations or legal evidence. You can carry out a complete deletion yourself manually at any time, depending on your deletion concept.

Do you have a data protection officer that I can contact?

In addition to our internal data protection experts, we have appointed an external data protection officer. They are available to answer any questions you may have about your data.

Questions around data security

Your data is stored securely in Microsoft Azure Cloud data centres at two separate locations in Germany – Frankfurt and Berlin. The data centers are ISO 27001 certified. Your data is therefore fully subject to European law and high security standards. We also perform regular emergency database backups on a server via Hetzner Online GmbH – for the unlikely event that the Microsoft servers are unavailable.
