New feature: Access groups

Managing access rights in Clockodo is now even easier. Access groups allow you to assign access rights collectively. Add employees to a group and define permissions for customers, projects, or services in one central step. This eliminates the need to assign rights individually for each employee, such as whether they can track time entries, view reports, or edit them for a specific customer or project.

This approach saves time and provides clarity, making it especially useful for companies with large teams.

Creating and managing access groups

Follow these steps to create and manage access groups:

  1. Open the “Access groups” section in the company menu.
  2. Use the plus icon to create a new group and give it a name.
  3. Assign employees to the group.
  4. See and manage all groups and their members in the overview.

Working with access groups: Customers and projects

In the "Customers and projects" section, click the employee icon next to a customer to access an overview of access rights.

Direct access editing in the "Co-workers" tab

  • This tab displays individual access rights for the selected customer, as before.
  • New: You can now manage and assign access rights directly here. Do you want to grant a new employee specific access? Simply select “Yes” in the relevant dropdown column—done!
  • A lock icon indicates access rights that cannot be changed on an individual level. Hover over the icon to see a brief explanation of the source of the access right. For instance, it may derive from the employee's role or an assigned access group. This ensures complete transparency.

Centralized access rights in the "Access groups" tab

For centralized management, switch to the "Access groups" tab.

Here, you can see all existing access groups and the rights assigned to each group for the selected customer. Modify access rights for an entire group with just a few clicks.

Example:
The sales team can track time entries but cannot see reports. The administration team, however, can analyze reports but cannot track time entries. Simply select the appropriate permissions using the "Yes" fields and close the window.

Assigning project-level access rights

To see and manage access rights for specific projects, choose one of these options:

  1. In the customer's access rights overview, choose “Select projects” in the dropdown menu. This opens a window where you can assign access rights for all existing projects by checking the appropriate boxes. This option is available in both the "Co-workers" and "Access Groups" tabs.
  2. Alternatively, go directly to the project overview of a customer and click the employee icon. This also leads to a window where you can assign rights for each employee or access group by checking the corresponding boxes.

Managing access rights in the co-worker's menu

In the co-workers' menu, select "Access rights" to assign rights to individual employees at the customer, project, or service level. You can also assign employees to an existing access group directly from this section.
