What Clockodo’s First AI Features Can Do

Less typing, faster time tracking, and clearer invoices: For the first time, AI is here to support you directly in Clockodo with your daily tasks. Dictate your working hours, improve descriptions with a single click, and turn your time entries into clear invoice texts. Of course, you always remain in control: All three AI features are only activated when you choose to use them. If you decide not to use them, no data will be transmitted to AI models.

For us, it's not just about integrating AI for the sake of it. What matters is that it actually makes your daily work easier. That's why our guiding principle for AI is: “We integrate AI where it saves you work. Whether you use it is entirely up to you.”

AI Feature #1: Simply Dictate Your Working Hours Instead of Entering Them Individually

Had a long day at work and still need to add several time entries? With the new voice input feature, you can simply tell Clockodo what you've been working on.

To do this, click the microphone icon in the timetable and dictate something like: "Wolf Bakery, Relaunch project, concept development from 9 a.m. to 12 p.m., then a 30-minute lunch break, followed by two hours of client coordination."

Clockodo uses this information to generate suitable suggestions for your time entries. You can even record multiple activities and working days at once. Clockodo also recognizes any breaks you mention and takes them into account accordingly. You can then review the suggestions, make corrections using your voice, and confirm the entries.

Good to know: Voice input is initially available as a beta feature in the desktop browsers Chrome, Edge, and Safari, but not yet in the apps. Make sure to speak in the language you have selected in Clockodo.

KI-Feature #2: Beschreibungen mit einem Klick verbessern

Quickly written notes are practical, but they aren't always suitable for reports or customer invoices. AI helps you turn them into clear, well-written descriptions.

Simply enter your note in the description field of a time entry as usual and click "Improve with AI". Clockodo improves the text directly in the field without intentionally adding any new information. If you're not happy with the result, you can undo the change with a single click.

Under "My Data" → "AI Settings", you can also specify how AI should formulate your texts, for example, keeping them short and factual.

AI Feature #3: Automatically Generate Clear Invoice Descriptions

If you regularly bill numerous time entries, you're probably familiar with the challenge: Turning a large number of internal notes into a clear, well-structured invoice that customers can understand at a glance.

The new AI feature helps you do just that, directly during invoice creation via your Clockodo partner app. Open an invoice line item and select "Generate with AI". AI summarizes the underlying time entries into a clear line item description, even if the entries are grouped.

You can also improve existing invoice texts by clicking "Improve with AI". And there's no need to worry about the accuracy of the content: AI only uses the information already available, without independently changing any hours or amounts. You review the suggestion and decide whether to accept it.

Your Data, Your Choice

Whether you use the new AI features is entirely up to you. For existing Clockodo company accounts, they are disabled by default and must be actively enabled. New customers, on the other hand, have immediate access to the AI features but can disable them at any time.

Your data remains protected: All AI processing takes place exclusively in Europe. Your data is neither used to train AI models nor stored by the AI provider. Speech recognition is handled by your browser, meaning Clockodo does not receive any audio data or store transcripts. What's more, AI only provides suggestions. You always have the final say over which texts and time entries are actually saved.

How to Enable the AI Features

Administrators and co-workers with the access rights "Change company settings" and "Fully manage subscription" can enable the AI features for the entire company, provided they have an active Pro plan or are in a free trial period with project time tracking enabled.

1. Open the company settings.
2. Enable "AI-powered features".

The AI features will then be available to your co-workers. You can disable them again at any time.

What's Next?
