Current overview

The clockodo dashboard shows the current work time broken down by services and projects. You can see important figures such as the total tracked working time or the proportion of billable working time.
At the push of a button you can change the diagrams and details so that they contain only your own working time or that of the entire company.

Quick access to reports

The lower area lists budgeted projects, ensuring that you have critical budgets available to view immediately. From here you also have direct access to project reports and your online saved report templates.

Your choice of diagrams

You can switch the diagrams on the dashboard and in the project reports between pie and bar charts (showing progress over time). The view mode you last used is remembered for your next visit.

Different time periods

On the dashboard you can select the overview between five different current time periods. When the period is changed, the diagrams and details are recreated automatically.

For processing after project completion or as a quick interim overview: the project report contains all facts such as total tracked working time, project run time or its apportionment to the employees involved

Time sheets

The total work on the project is listed separately by billable and non-billable times. You can print the list directly as time sheets or use it as the basis for your billing.

Project budget

A budget can be attached to each project. From the tracked times and the hourly rate, clockodo automatically calculates project progress and indicates this in graphics and figures.

Services overview

The project report breaks down the individual services as proportions of the total tracked time in detail. A diagram shows the distribution of services over the project run time.

Your own reports by drag-and-drop

With clockodo you can effortlessly create analyses of the working times customized to your own re­quire­ments. Use drag-and-drop to pull the criteria you want into the desired order, then see the report generated instantly.

Flexible groupings

The two graphics show you the distribution of the first grouping level at a glance. As a pie chart and distributed over the selected time period. Under this, all levels with the relevant working time and the turnover generated are listed.

Select any desired time period

You can create the reports for any period you choose. Some frequently used periods are available for direct selection, while you can select others from a calendar.

Restricting data with filters

Filtering by customer, project, service, co-worker, billability, or description lets you restrict the times analyzed in the report. The individual filters can be combined in any way and act directly on the report displayed.

Listing by criteria

Below the diagrams, clockodo lists all levels with their tracked working time and turnover. Symbols in front of the designation represent the category. You can work with any group, for example to assign a specific selection of time entries to a different service.

Report templates

Save the report you have created as a template so that you can access it directly in future. The template saves the time period, the created grouping, and the filters. When invoked in future, a new report is created automatically with the current time entries.

Grouping by task

The “Time Entries” page lists your tracked times for one day, grouped by task. Here you can make minor corrections or delete individual entries. Co-workers who are not authorized to see reports can thus see an overview of their hours here.

Subsequent adding of times

As an alternative to using the time clock to record working times, you can also create time entries manually. If you have already worked on a task today, this is possible even quicker: click on “+” within the group and the form is pre-filled for you.

You can change the calendar above your list of time entries between the weekly and monthly view with a single click.

Recording with the time clock

The time clock records your working times automatically to the second under the customer/project name, service, billability, and an optional description. When switching tasks you only need a few clicks to update the information. Under the working time for the current task you can also see the total time that has already been devoted to this task today.
Time recording is done by the server; you can close the window or change to another app on your phone, and the clock will continue to run.

Desktop Client

The clockodo desktop client is a downloadable program that lets you run the online time clock without a web browser.
A little symbol next to the task bar gives you access to the time clock at any time and lets you see whether it is running or paused. The program automatically detects if you are away from the computer. When you return it asks whether your time away should be counted as work time or not.

Efficient use

Intelligent help is included to make clockodo easier to use: In just two clicks you can enter a new description into the current task, continue a task performed recently or select from the most frequently performed tasks.
Any corrections required, such as a break that was not stopped or a typing error in the description, can be made directly in the time clock.

Smartphone Apps

You can also use the time clock for recording time with a smartphone while out and about. Apps are available for iPhone and Android. You can also simply use the time clock of the website with other mobile devices. clockodo detects the screen size and displays the optimal version of the website for your device.

Customers and projects

Recorded times are grouped in clockodo by customer. You can create multiple projects for each customer in order to analyze work elements separately.
For each client and project you can set an individual hourly rate or use the company rate. When you specify a project budget, clockodo will automatically calculate project progress.

Import & export

If you are already using another time tracking system, clockodo can import existing data from that system. With some online systems this can be done automatically via an API interface; in other cases data can be read from a .csv file.
All data held by clockodo can be exported in .csv format for processing or archiving in other programs.

Local backups

In addition to our server-based backups, you can create your own backups in a single click and restore them, e.g. before carrying out imports or deletions. If you do this, all the company’s master data, settings, and time entries are reset to the respective time point.

Co-workers

Any number of employees is supported, with three levels of authorization available. You determine whether a given user may only see and edit his/her own time entries or may also analyze company-wide reports and edit master data.
Each user can use clockodo in their preferred language and time zone.

clockodo is an online software for time tracking. It is a modern substitute for timekeeping with Excel or a timestamp clock, requires no additional equipment, and is easy to use.

Time tracking systems allow you flexibility in analyzing work time and greater accuracy in project accounting. clockodo also aids you in mobile project time recording with smartphone apps.
