You are now able to decide exactly which user has access to which customer or project. The most important aspect at first: After the today's update, each of your co-workers has the same access rights as he had before. However, you are able to edit and refine his access rights now.</p> <p>Until now, there were three user roles which you could assign to your co-workers: Owner (of the account), manager and co-worker. The co-worker had the fewest access rights. This has been obtained, but extended with some new setting options. In your co-worker administration you will find a new button to each user with the role “co-worker”. The button shows a key symbol and allows you to edit the access rights of that co-worker. You will find an appropriate link for every indivual report and part of report which contains billable entries. After selecting some options, clockodo initiates the creation of the bill in your billing application.</p> <p>For this purpose, it is required that you use a special billing application which is available – just like clockodo – as an online application and offers a so-called API. Examples for such applications are <a href="http://www.easybill.de">easybill.de</a> and <a href="http://www.billomat.com">billomat.com</a>.</p> <p>The bill will be created as a draft in the bill application. Upon the creation of the draft for a selected report, you can follow a direct link which leads you from clockodo to the edit form of your billing apllication. Hence, you can continue to edit your draft there.</p> <p>The benefit of this outsourced approach: You can make use of all specific functions of your billing application (e.g. letter papers, document templates, text modules, sending of your bills via mail er e-mail, dunning processes, managing tax rates and discounts, special exports for accounting, ..).</p> <p>The first image on the left side shows an initial report which will be transformed into a bill in the next step. Amongst other things, you also see how the creation can be initiated: For the complete report via the link at the bottom of the page, as well as for parts of the report via the link in the particular menu.</p> <p>The second image shows the dialog which appears directly after following the creation link. clockodo has converted the report into a billing format and therefor set the description corresponding to your composition of the report. Now you can select the bill items which should be finally adopted to the bill. Furthermore you can assign article numbers to the bill items, which have been extracted from your billing application.</p> <p>In order that you don't have to select each time the customer as well as article numbers, you can define standard mappings:</p> <ul> <li>Via the customer administration you can assign each customer to a customer from your billing application<br>(the third image on the left shows you an example form)</li> <li>Via the service administration you can assign each service to a service / product from your billing application</li> </ul> <p>Naturally you are able to make use of clockodos rounding function while creating a bill. Therefor you just have to activate rounding in the initial report. As a special touch: If you have composed your report by "Service" -&gt; "Day" -&gt; "Description", rounding takes place for services with the same description on the same day. However, you will find an option during the bill process which allows you to shorten the description respectively the grouping for the billing purpose to "Service" -&gt; "Day" or just "Service". This exported file can be opened with spreadsheet programs, such as "Microsoft Excel". Furthermore you are able to import the created file to other software.</p> <p>The first image on the left shows an example report, which is going to be exported in the next steps. To customize the exported CSV, some options can be set up via a dialog, which is shown in image 2. This dialog appears as soon as you click on "CSV export". Amongst others, there you can set up the delimiter symbol which is used in the CSV file, the formatting of dates and durations and whether to export groups or time entries:<br>If you choose "groups", the current view of the report will be exported, which is shown in image 3 (a file is show, which has been opened with a spreadsheet programm).<br>Alternativly, if you choose "time entries", all time entries which are contained in the groups of your report will be exported. This allows you to reproduce your working times still absolute exactly for company-internal evaluations. As soon as you create a report for billing purposes, you are able to activate rounding. There are the options to round up to full 5 minutes, 10 minutes, quarters of hours, half hours and full hours available.</p> <p>The rounding is not realised based on time entries. This would not make much sense: If you want to achieve the most information content with clockodo, you will add a new description for every subtask on which you work on. This is excellent for your evaluation, because you can exactly reproduce and categorize your working time. But rounding up each of this time entries, would falsify your billing completely. You meet with the same problem as soon as you have to edge another small task in while working for another customer.</p> <p>That's why clockodo doesn't round your times per time entry, but based on the composition of your report. The first example image shows a report without rounding being activated. It refers to the project "Castle restaurant" and has the composition "Service" -&gt; "Day" -&gt; "Description". The second image shows the same report, but with rounding being activated to quarters of hours. While creating a report, clockodo groups all time entries together based on the composition of the report. On the last composition level of the example, all entries with the same service, the same day and the same description are grouped together. The respective durations and revenues are summed up and displayed for the group. When rounding is activated, the rounding takes place on exactly this last composition level / group level. You can recognize this by the symbol <span class="st">≈</span> in front of the rounded values. On higher composition-levels, the already rounded values are just summed up.</p> <p>You see, the rounding of values can be specified very individually. It is possible to record time down to a second with just a few mouse clicks. clockodo offers new possibilities for accessing the time clock so that you do not have to have a browser windows open all the time:</p> <p>The desktop client is available for Windows, Mac and Linux. A little symbol next to the task bar gives you access to the time clock at any time and lets you see whether it is running or paused. The program automatically detects if you are away from the computer. If clockodo does not yet support your existing time tracking system, please let us know. If technically possible, we will expand the import function to also include this supplier.
