For the purpose of evaluating his own work time, all tools of the reports page are available to every co-worker.

From time to time it occurs that you have forgotten to start clockodo's time clock. Or you notice that you have added times not correctly and want to adjust them. clockodo faciliates such corrections, because it displays the exact start and end time of each entry and even time adjustments. But for this purpose, the aggregated view sometimes became hindering, because the chronology of the time entries wasn't noticealbe immediatly. That's why clockodo now offers an additional view mode: In the chronological view, time entries aren't aggregated at all and adjustments become more easy.

Furthermore, we have adopted the print view of the reports to the time entries page and improved it: You are now able to hide revenues and budgets for print purposes.

Meanwhile, we have extended this service to other billing applications. The nameable applications billomat and fastbill were added. At this point, we would like to give you an overview of the supported apps.

Attention: clockodo user get special terms at every service provider.

billomat started its service at the end of 2007. Since billomat is localised to more than 60 countrys, the application gets very interesting to international customers. Billomat sets high value on the concept of specialization and, therefore, offers many add-ons which are based on the well-administered interface. The add-ons include provider for financial accounting and money collection companies, as well as newsletter services. Bills and other documents can be mailed as real letters with the help of the "pixelletter" service.

easybill has been integrated as first application by clockodo and provides its own service since 2007. Offers, invoices and co. can be created via an intuitive user interface: You already work on a bill-like view while being in creation progress. Thus, you can retain the overview with ease. The completed bill can be sent as a letter natively via easybill. New businesses are supported by easybill with a logo and an appropriate letter paper at no charge. eBay and amazon trader can import and process there trades automatically.
For clockodo users easybill expands its free testing phase of 7 days to 30 days - just submit the coupon code clockodo in the registration process.

In business since january 2008, fastbill also supports the mailing of invoices and other documents via real letters natively. In order to provice an overview of the solvency, fastbill doesn't only track incomings (through bills and offers), but also outgoings and records. Hence, fastbill straightly ships with an appropriate scan app for records. With the help of WebPayments, fastbill users can get paid their bills directly online. With the support messenger and the online bill history, fastbill users can offer further help functions to their customers.
You, as a clockodo user, will be welcomed by fastbill with three months free of charge. Therefore, you have to enter the promotion code FB4F in the start assistant after the registration.

Until now, there were three user roles which you could assign to your co-workers: Owner (of the account), manager and co-worker. The co-worker had the fewest access rights. This has been obtained, but extended with some new setting options. In your co-worker administration you will find a new button to each user with the role “co-worker”. The button shows a key symbol and allows you to edit the access rights of that co-worker. Here you see an example access rights administration for an user:

As you can see, you are able to decide for each customer and each project whether the user is allowed to add time entries, to see reports or even to edit reports (e.g. edit time entries of other users in this project/customer). You will find exact descriptions to the impacts of each access right within the application. All up, we have attached great importance to the transparency of the rights system:

• Every restricted co-worker can open an access list, which shows him in detail to which customer and project he has which access rights (naturally, only customers and projects are displayed, to which the user has at least one access right)
• There is an access list to every customer and project which shows you which user has which access rights to the respective customer/project
• If a user is not allowed to edit or delete a time entry, clockodo tells him why he doesn't has the access right

In this context we have added another small, but time saving, function: If a user just has access to exactly one project, the project is always preselected in the time clock and entry forms.

For this purpose, it is required that you use a special billing application which is available – just like clockodo – as an online application and offers a so-called API. Examples for such applications are easybill.de and billomat.com.

The bill will be created as a draft in the bill application. Upon the creation of the draft for a selected report, you can follow a direct link which leads you from clockodo to the edit form of your billing apllication. Hence, you can continue to edit your draft there.

The benefit of this outsourced approach: You can make use of all specific functions of your billing application (e.g. letter papers, document templates, text modules, sending of your bills via mail er e-mail, dunning processes, managing tax rates and discounts, special exports for accounting, ..).

The first image on the left side shows an initial report which will be transformed into a bill in the next step. Amongst other things, you also see how the creation can be initiated: For the complete report via the link at the bottom of the page, as well as for parts of the report via the link in the particular menu.

The second image shows the dialog which appears directly after following the creation link. clockodo has converted the report into a billing format and therefor set the description corresponding to your composition of the report. Now you can select the bill items which should be finally adopted to the bill. Furthermore you can assign article numbers to the bill items, which have been extracted from your billing application.

In order that you don't have to select each time the customer as well as article numbers, you can define standard mappings:

• Via the customer administration you can assign each customer to a customer from your billing application
  (the third image on the left shows you an example form)
• Via the service administration you can assign each service to a service / product from your billing application

Naturally you are able to make use of clockodos rounding function while creating a bill. Therefor you just have to activate rounding in the initial report. As a special touch: If you have composed your report by "Service" -> "Day" -> "Description", rounding takes place for services with the same description on the same day. However, you will find an option during the bill process which allows you to shorten the description respectively the grouping for the billing purpose to "Service" -> "Day" or just "Service". This won't touch the determined rounded values of the report.

The first billing applications which has been integrated by clockodo is easybill.de. However, the integration of other applications is rather simple, please contact us if you want to have integrated your special billing application.

The first image on the left shows an example report, which is going to be exported in the next steps. To customize the exported CSV, some options can be set up via a dialog, which is shown in image 2. This dialog appears as soon as you click on "CSV export". Amongst others, there you can set up the delimiter symbol which is used in the CSV file, the formatting of dates and durations and whether to export groups or time entries:
If you choose "groups", the current view of the report will be exported, which is shown in image 3 (a file is show, which has been opened with a spreadsheet programm).
Alternativly, if you choose "time entries", all time entries which are contained in the groups of your report will be exported. You can see this in image 4.

The link to the CSV export can be found at the bottom of each reports page, as well as in the submenu of each group (in this way you can also export just a part of a report).

In doing so, clockodo still saves all time entries exact to the second. This allows you to reproduce your working times still absolute exactly for company-internal evaluations. As soon as you create a report for billing purposes, you are able to activate rounding. There are the options to round up to full 5 minutes, 10 minutes, quarters of hours, half hours and full hours available.

The rounding is not realised based on time entries. This would not make much sense: If you want to achieve the most information content with clockodo, you will add a new description for every subtask on which you work on. This is excellent for your evaluation, because you can exactly reproduce and categorize your working time. But rounding up each of this time entries, would falsify your billing completely. You meet with the same problem as soon as you have to edge another small task in while working for another customer.

That's why clockodo doesn't round your times per time entry, but based on the composition of your report. The first example image shows a report without rounding being activated. It refers to the project "Castle restaurant" and has the composition "Service" -> "Day" -> "Description". The second image shows the same report, but with rounding being activated to quarters of hours. While creating a report, clockodo groups all time entries together based on the composition of the report. On the last composition level of the example, all entries with the same service, the same day and the same description are grouped together. The respective durations and revenues are summed up and displayed for the group. When rounding is activated, the rounding takes place on exactly this last composition level / group level. You can recognize this by the symbol ≈ in front of the rounded values. On higher composition-levels, the already rounded values are just summed up.

You see, the rounding of values can be specified very individually. In this way it is possible to summarize tasks according to their description and round there durations and revenues up, but also to summarize just by services, for example.

Now you can mark billable times as "already billed". Via the reports page, you are naturally able to filter or group your time entries by billability. In this way you are able to find not yet billed revenues.

The first example image on the left shows how you can mark a whole group of time entries as already billed. The second one shows the filter function on the reports page.

• Per service
• Per project and company

While creating new time entries, the right hourly rate will be fetched. It is still possible to update the hourly rates of projects or services, without that the hourly rates of corresponding time entries will be updated. If you want them to be updated, you will find an accordant function while updating the rates.

Along with this update, we fixed some problems with the date formats.

The desktop client is available for Windows, Mac and Linux. A little symbol next to the task bar gives you access to the time clock at any time and lets you see whether it is running or paused. The program automatically detects if you are away from the computer. When you return it asks whether your time away should be counted as work time or not. Download now.

If you have used another online time tracking system up to now, clockodo can use the API that is provided by your existing time tracking system for the import of your data. If clockodo does not yet support your existing time tracking system, please let us know. If technically possible, we will expand the import function to also include this supplier. Up to now, clockodo can import data from "mite", "toggle" and "tempo" via API.

If your existing online time recording system does not offer the option of accessing your data by API, or if you would like to adopt data from other applications, you can use the CSV import of clockodo.
